The Evolution of Control: From a Simple Link in 2016 to the Roomskey Mobile App

Many companies talk about “innovation,” but few can show it over a span of ten years. Today, I want to open up our archives a little and show how we transformed ordinary client communication into a complex cross-platform IT platform.

2016: The Era of the “Personal Account”

In August 2016, when people were still sending blurry photos via Viber, we launched the first online Personal Account.

  • What it looked like: a simple interface on the website.
  • What it could do: we uploaded drawings, visualizations, photo reports, and videos so that clients wouldn’t have to spend time traveling. This was our first attempt to make the renovation process “transparent.”

2021: A Time of Change

We realized that simply “showing” wasn’t enough — interaction was necessary.

  • What changed: we updated the platform, added push notifications, completely redesigned the interface, and introduced a chat with all project participants.
  • This was a breakthrough in efficiency: the speed of decision-making increased dramatically. Disputes became less frequent because the entire history of approvals was preserved.

2022: The Birth of Roomskey and the Move to a Full Mobile Version

The pandemic and the faster pace of life pushed us to take a major step — moving away from a web page (just a desktop version copy) to a full mobile application.

  • We began developing a complete, proprietary cross-platform system (mobile + web), which later became known as Roomskey.
  • It was no longer just a personal account, but a management tool: checklists, work schedules, statistics, evaluations, and much more. The design became modern, and the interface intuitive and user-friendly.

Today, this is no longer just RSU’s “personal account.” It is a standalone IT product with no equivalent in Ukraine.

  • What we have now: a complete ecosystem. Electronic document management (no papers!), project chats, automatic notifications for every nail driven, financial transparency, and access from anywhere in the world with a single click.
  • Today we know exactly which project has a problem — we connect immediately and resolve it efficiently.

We understand that video is the best way to see the truth.

In the “Video Reports” section, we combined two convenient formats:

  • YouTube Integration: For full apartment overviews, we provide YouTube links. This allows clients to watch reports in high quality on any device.
  • Direct Upload: On-site videos are uploaded directly to the app. You can see your renovation exactly as it is at the moment.

Goodbye, Messengers: Why Roomskey Brings Order, Not Chaos

One of the biggest challenges in renovations has always been communication. Dozens of chats in Viber or WhatsApp, where important drawings get lost among messages, and the history of approvals disappears along with deleted texts.

In Roomskey, this problem is solved once and for all.

1. Smart Drawing Approval

We introduced a “Drawings” section that acts as a strict filter. The designer uploads a plan, and the client sees two clear buttons: “Approve” or “Reject.”

  • No ambiguity: if a drawing is rejected, the system asks for a reason. This ensures the team works precisely, and the client pays close attention to the details.
  • Project Timeline: The system records everything — the publication date, the time the client takes to review, and the moment of decision. This allows us to track deadlines perfectly and understand at which stage the project is “stuck.”

2. Secure Chat and an Uneditable History

Roomskey includes a built-in notification system and a working chat where all participants communicate: the client, the designer, and the project manager.

  • Integrity above all: Unlike regular messengers, messages cannot be deleted here. This ensures that all agreements remain valid.
  • One-click archive: At any time, the entire chat history and all files can be downloaded as a single archive. This serves as your insurance and a complete database for the project.

For us, it is important not just to carry out renovations, but to constantly improve our work efficiency. Every 20 days, a team evaluation form appears in the app:

  • Employee Ratings: The client rates the project manager and other specialists on a 5-point scale.
  • Performance Monitoring: This helps us understand the client’s satisfaction in real time and respond promptly to any issues.

The final point of our digital evolution is a powerful analytical dashboard that turns construction chaos into clear numbers. This is not just a “personal account,” but a full management center where the entire company’s activity is visible at a glance.

Thanks to Roomskey, RSU received an official diploma from the Ukrainian Book of Records for setting a record in the “Innovation” category — the creation of 37,087 design drawings, of which 25,483 were approved by clients within the Roomskey app.

  • For the client: It means complete peace of mind. You don’t need to be a construction expert or “live” on the site. All renovation statistics, schedules, budgets, photo archives, and drawings are available with a single click. It’s transparency that eliminates stress.
  • For our employees: It brings order and speed. Our team no longer gets lost in routine. Every craftsman, designer, and project manager knows their tasks in advance. Automation allows us to focus on quality, not on paperwork.
